The following contract must be filled, signed and returned to Cache to secure the date of your event.

All charges will be on the day of your event, including all fees.

Recipients should receive a phone call or email from Cache Management regarding confirmation of event.

For all VIPs we require a $100 minimum and for all non-VIPs we require a $150 minimum

Cache Bayou Banquet Contract

The following policies explain the basic guidelines for Cache Bayou VIP Lounge and will assist you in the planning stages of your event. Specific details pertaining to menu selections, room and table arrangements, entertainment and other matters will be discussed and established prior to the event. Every effort will be made by the staff and managementof Cache to ensure a successful event. A well planned and successful event requires areview of the following policies.

To ensure that both parties understand and agree to the terms and conditions stated within the contract, Cache management requests the host to agree and adhere to the following statements provided below.

NON REFUNDABLE DEPOSIT

A nonrefundable $200 deposit shall be charged to the card on file in order to hold and secure all private events in the Bayou Bar & Lounge. The nonrefundable $200 deposit will be made on the same day this contract is filled out and submitted.

Room rental charges shall appear on the final event bill.                                                                    

Cache is unable to offer separate guest checks for banquet functions

All Federal, state & local laws with regard to food & beverage purchase & consumption are strictly adhered to. Cache reserves the right to inspect & regulate all private meetings, banquets and receptions in accordance with established policies and laws.

Cache must provide all food and beverage, with exceptions made for wine, champagne, and cake. For wine & champagne, $50 corkage fee per bottle will apply for 750 ml bottles and a $60 corkage fee for magnum sized bottles. A $25 cake fee charge for any desserts or cakes brought to the event

Banquet pricing does not include gratuity or sales tax. 20% gratuity or $150.00 per server fee is our standard gratuity. The current sales tax rates for food, wine, & alcohol will be applied to all food and beverage charges. Groups requesting tax exemption must submit a tax exempt certificate thirty (30) days prior to the function date, or tax will be applied to the final bill and will not be refunded. There will be a 3% credit card surcharge added to the bill with a credit card use.

To confirm function space on a definite basis, the client must provide Cache Restaurant with written authorization on a Cache contract or on a confirmed Banquet Event Order. Cache reserves the right to release function space which has not been confirmed in writing or for which no deposit has been received.

Confirmation of the final number of attendees of any function must be submitted to the Events Manager no later than seventy-two (72) hours prior to the function date. Cache will be prepared to serve five percent (5%) in excess of the guarantee. Should the guarantee exceed five percent (5%) of the original estimated number of attendees, Cache reserves the right to make a substitution for the original items ordered. All charges will be based upon the final guarantee, or the actual number of guests served, whichever is larger. If the required final count guarantee is not submitted to the Events Manager, the original attendee figure on the Banquet Event Order will be considered the final count. Guarantees for events on Monday or Tuesday will be required by 12:00pm on Wednesday of the previous week. Place settings shall be done in the same manner as regular Cache service. This includes tablecloths, napkins, flatware, and china. Any difference in the place setting desired must be discussed at least seventy-two (72) hours in advance of the event. The rental of specialty linens, if desired by the client, must be arranged at least two (2) weeks in advance of the event, and will be arranged at the expense of the client.

There will be an additional $600 set up fee if staff has to rearrange set up at an earlier time than scheduled, and a sudden layout change after the party has been set.

All menu selections shall be considered definite and not subject to change seven (7) working days prior to the function date.

All prices are subject to change due to market fluctuations, unless such prices are confirmed in writing. Confirmed prices will be quoted no more than ninety (90) days prior to the scheduled function.

Cache Restaurant reserves the right to refuse service to any minor, or person who cannot provide proof of age, per Arkansas State law. Cache, at its own discretion, may discontinue beverage service if Arkansas laws are not obeyed. Per Arkansas state law, Cache will not provide alcoholic beverages to individuals who seem to be strongly intoxicated. Cache reserves the right to deny service to those who are deemed too intoxicated to control themselves. Open Bar: All charges incurred in relation to bar sales will be the responsibility of the client hosting the event.

Due to limited storage space, materials cannot be received at Cache Restaurant more than two (2) days prior to the event. Cache Restaurant does not at any time guarantee the security of any items left in the function rooms or stored on site. Loss or damage to group displays, decorations, or other property brought into Cache will be the sole responsibility of the group, with Cache Restaurant assuming no liability.

Electrical requirements for events must be discussed in advance to ensure that the proper number of outlets and power is provided. For display setups, arrangements must be made in advance for rental of electrical equipment.

Cache can provide any audio-visual requirements needed for events. Some are available on-site free of charge, while others may include a rental fee. Consult the Events Manager in advance to discuss audio-visual needs. Cache must be notified in advance of any outside company or producer coming on property, and reserve the right to advance approval,restrict or deny.

The client is responsible for the conduct of all persons in attendance and for any damages incurred upon Cache or its guests by individuals associated with or representing the client’s organization.

If, for reasons beyond Cache’s control, including but not limited to, labor strikes, accidents, government restrictions or regulation on travel, acts of war or acts of God, Cache is unable to perform its obligations, then such non-performance is excused with no other liability upon return of deposit. In no event shall Cache Restaurant be liable for consequential damages for any reason whatsoever.

Cache requires security personnel for all groups whose size, program or nature indicates such need, at the sole discretion of Cache Restaurant management. The security company hired is at the discretion of the group, and must be a reputable and licensed guard or security agency approved by Cache Restaurant management. If the security company contracted by the group does not meet Cache’s requirements, Cache (at the group’s expense) shall contract additional security services

CLEAN UP FEE FOR ANYONE VOMITING AT THE EVENT IS $600 PER OFFENSE

All signs must be professionally printed or painted, and must be approved by the Events Manager. No pins, tacks or adhesives of any kind are permitted on any of Cache’s walls, doors, or ceilings.

Confetti, glitter, and rose petals are not permitted in the restaurant. A $200 cleaning fee will be assessed if these items are used in Cache Restaurant. Any items left over 24 hours becomes the property of Cache Restaurant, and it will be up to management over left over items.

If the party requires Cache to move or store over 25% of the furniture within an event space, a moving fee will be added to the final bill. Fees will vary depending on how much furniture and/or fixtures are moved and/or stored.

Booking of Cache banquet spaces requires a $75 per person minimum dining charge, exclusive of taxes, gratuity, service fees, and room fees.

Final guarantee is due by 12PM, 3 business days before the function. Client will be billed at the rate of the event guest check average to account for the final guarantee if a lesser number of people attend. If no guarantee is received, the client will be billed at the rate of the event guest check average for the agreed upon number. All prices subject to 20% service charge and applicable taxes or an agreed upon service fee and applicable taxes. Cache is not responsible for any item(s) left unattended in the function room(s).
